Stock Monitor help centre

Short answers about setting up and using Stock Monitor, grouped by what you are trying to do. You can also see Stock Monitor on the Shopify App Store (opens in a new tab).

Set up

  • Stock tracking settings explained

Settings, then Stock Tracking, has four cards: Product status mode, Inventory value mode, Exclude products and Low stock. They set how a product’s status is worked out, how stock is valued and which products are monitored.

  • How do I get started with Stock Monitor?

Add Stock Monitor from the Shopify App Store, choose a plan and approve it in Shopify. Your products then sync, which can take up to 2 hours, and Stock Monitor begins recording your stock each night.

Settings

  • How is a product's stock status worked out?

Under the default setting, All variants, a product is out of stock when every variant is at zero or below. Choose Any variant instead and a single variant at zero or below is enough.

  • How do I set the low stock threshold?

Open Settings, then Stock Tracking, and enter a number in the Low stock card. Products that still have stock but are at or below that number show as Low in stock. Low stock notifications have their own threshold.

  • How do I exclude products from Stock Monitor?

In Settings, then Stock Tracking, use the Exclude products card to leave out whole product types, tags or vendors, or individual products. Excluded products drop out of your figures, nightly record and daily reports.

  • How is inventory value calculated?

Stock Monitor multiplies each variant's stock by its cost, or by its price if you choose Price in Settings, and adds the results together. Cost is the default.

Reports

  • How do I set up the daily email report?

Go to Notifications, then Email, switch on Daily Out of Stock Report, choose a time and add at least one recipient. Each report is an email with a CSV file of your out of stock products.

  • How do I send Stock Monitor reports to Slack?

Go to Notifications, then Slack, and connect your workspace. Then switch on Daily out of stock reports, choose a channel and a time, and save. The first report arrives the next day.

Data

  • How do I see a product's stock history?

Open Products in Stock Monitor and click a product. Its page shows the product’s inventory history: days out of stock, a calendar of red, amber and green days, and a day by day table of quantity and status.

  • How do I export my data from Stock Monitor?

Click Export on the Products list, a product’s page or a variant’s page. Stock Monitor downloads a CSV file you can open in Excel or Google Sheets. The daily out of stock report also has a CSV attached.

Plans and billing

  • Which Stock Monitor plan do I need?

Settings, then Plans, shows your monitored SKU count and recommends the smallest plan that can cover it, counting extra SKUs up to the cap. A plan with more included SKUs can cost less than extras on a smaller one, so compare the totals.

  • How are monitored SKUs counted and charged?

A monitored SKU is a variant of an active, published product that tracks inventory and that you have not excluded. Above the number your plan includes, Shopify charges a small rate per extra SKU, up to a cap.

Guides for Shopify merchants

  • Does Shopify track inventory, and how do I check it?

Yes. Once Track quantity is on for a product or variant, Shopify tracks its stock. See it under Products, then Inventory, and in Inventory reports under Analytics, then Reports. Use Flow or an app if you want to be told when stock runs out.

  • What is a stockout, and what does it cost a Shopify store?

A stockout is when a product is out of stock, so customers cannot buy it. To work out its cost, multiply units sold per day by days out of stock and by price or profit, then add advertising spent while it was out. Lost repeat customers are real but cannot be counted.

  • How do I connect Shopify to Slack for stock alerts?

For a Shopify Slack integration, use a Shopify Flow workflow with its Send Slack message action, or an app from the Shopify App Store. For one summary a day instead of alerts, Stock Monitor can post a daily out of stock report to a Slack channel.
